Bid writing: creating a winning bid

Bid Writing

It is not just about writing bids for contracts but bids for funding, resource or approval – such as a business case. Bid writing is time consuming and you will need to invest time and resource to create a winning bid.

Whatever you need support in writing, MJL can help you to create compelling submission from start to finish.

Creating a storyboard

At the outset of the bid writing process MJL develop the storyboard headlines for each section of your response using our 4-stage process:

  1. create a list of all mandatory and response requirements specified within the tender documentation.
  2. identify the size of the section (page / word count) as required by your customer/audience or as suggested by the evaluation criteria and your knowledge of your customer/audience priorities.
  3. list the winning themes, which have been identified as the key reasons for selecting your company together with relevant examples and evidence to be brought into the response.
  4. use headings and subheadings to identify any ‘must have words’ or topics for inclusion.

Developing the written submission

Most customers /audiences have clear and absolute terms for submitting a document – varying from colour of ink, font size and structure, to delivery times.

At MJL we clearly list such requirements to ensure compliance. Documents will be written and presented in a way that makes it as simple as possible for your customer audience to evaluate.

Developing the written submission will be an iterative process.  A common fault is to leave the drafting until late in the day.

MJL can develop your written submission from the outset of the tender process, adding to the words as you receive internal and external feedback, dialogue meetings, workshops and as your proposed solutions emerge. This allows you to demonstrate that you have listened and responded.

Final draft text

The customer is only interested in your offer if it provides an answer to their needs. A bid needs to be written in a way that conveys your company values, the benefits of your offer and of course, should be interesting and easy to read.

At MJL our writing style is a combination of formal tone to provide information with a subtle selling tone to influence the customer. We always think about what your customer/audience is looking for and write the response within that context.

If the development of the written submission has been managed well it should be a much easier task to draft the final text as all of the building blocks for the answer will be in place.
